Open What I reported at /feedback to see everything you've sent us and where each one got to. When a fix actually goes live you get a notification, so you don't have to check. "Live" means it's running in the app, not that someone ticked a box. If we decide not to do something, you'll hear that too, with the reason.
It's the forecast for the show's city on the show's date — not where you are now. Open a tour and the dashboard shows the local time there plus two days: the next show and the day after, with the high/low, rain chance, wind, and sunrise/sunset. Temperatures follow the country, so US dates read °F and the rest read °C. It only appears once the show is within 10 days, and the last forecast keeps showing with no signal.
A tour-management app: a tour manager builds a tour once — dates, venues, crew, travel, and schedule — and everyone carries it in their pocket, offline, with a push notification whenever something changes.
Tap Sign in and pick Master Tour, email, or Google. Signing in and signing up are the same screen, and there's no password: with email we send you a 6-digit code. A quick setup then asks whether you're crew, an artist, or a tour manager. You can change roles later in your Account settings.
Open bettertour.app/get on your phone and follow the one step it shows you. On iPhone you need Safari: tap Share, scroll down, tap Add to Home Screen. On Android, Chrome offers an Install button. There's no app store download, and the installed app works with no signal.
You're in an app's built-in browser. Links opened from Instagram, Facebook, TikTok or LinkedIn stay inside that app, and those browsers can't install anything. Copy the link and paste it into Safari (iPhone) or Chrome (Android). Links sent by text or WhatsApp open in the real browser, so they work fine.
Crew who are invited to a tour use BetterTour for free. Full pricing for builder features will be shared before it goes live.
Open the tour's Dashboard — the tour name sits at the very top, and managers see a small pencil beside it. Tap the pencil, type the new name, and hit Enter (or the check mark). You can also ask the assistant — "rename this tour to Summer Run 2026" — and confirm. Only tour managers can rename a tour. This is also how you fix a tour that came in from a Master Tour import still called "Imported tour".
Tap the search icon in the top bar (or press ⌘K / Ctrl+K) to open the search palette from anywhere. Start typing to find your tours, bands, venues, help articles, and (when you're inside a tour) that tour's dates and shows. It also runs quick commands like "help us improve" or "go to the calendar". Use the arrow keys to move, Enter to open, Esc to close.
Pro unlocks the tools that cost us real money to run: the AI features (smart tour import, receipt scanning, the assistant) and live flight lookup. Everything else — the itinerary, day sheets, guest lists, crew, the budget itself — stays free for the whole crew. Upgrade from Account → Subscription (monthly or yearly; prices show at checkout) and manage or cancel anytime from the billing portal there. While we're in beta the Pro tools are free for everyone.
Yes. In Budget (whole-tour or a date) tap Import, then snap a receipt, or drag in (or choose) an invoice / PDF / photo / CSV. The same AI that builds tours reads the document — it pulls the date, vendor, amount, and a category and proposes budget lines. Review and tweak them, then confirm: each becomes a line, filed to the date printed on the receipt, and the receipt image/PDF is kept on file (tap the 📎 on a line to view it). Managers and accountants can import.
Open a date → More → Budget and tap Show settlement. It's a record of what was settled, not a calculator. Pick the deal (guarantee, guarantee + backend, versus, door %, or flat) and enter the guarantee, box office, promoter expenses + profit %, deposit, catering buyout and merch, then the two outcomes off the promoter's sheet: show fee to artist and balance due. BetterTour stores and shows exactly what you typed and doesn't work out the split itself. Save it, export a CSV or PDF settlement sheet, and optionally add the show fee to the budget as an income line. Only the people who manage the tour see the budget at all. Crew and artists don't.
Yes. Open Budget from the tour (Dashboard quick action, the More sheet, or the desktop side panel) for the whole-tour view — income vs expenses, projected vs actual, with a running net. Each date also has its own Budget tab in the day workspace (under More) for that show's lines. Add lines by category (show fee, merch, per diems, transport, hotels, crew, commissions…), tie a line to a date or leave it tour-wide, and export to CSV or PDF from any view. Only the people who manage this tour see the budget at all — crew and artists don't, and it's hidden from the nav rather than shown read-only. An artist who manages their own tour still sees it. Money is entered in dollars.
Scroll to the bottom of the tour's Dashboard — the Danger zone. Only the tour's owner (the person who created it) sees it. Deleting removes the tour for everyone on it — every day, show, schedule, guest list, travel item, budget line and file disappears, and its share links and calendar feed stop working. You'll type the tour's name to confirm, and you can't undo it yourself — if it was a mistake, contact support and an admin may be able to recover it. If the tour is simply finished, don't delete it. Archive it from the home screen instead: it moves under Tour history for that band and you can restore it any time.
Yes. Open the tour's Dashboard and tap Add this tour to your calendar — you get a subscription address to paste into Google Calendar (Other calendars → From URL), Apple Calendar (New Calendar Subscription), or Outlook (Subscribe from web). Every tour day shows up as an all-day entry with the venue and city, and your calendar keeps itself current as the itinerary changes (calendar apps refresh on their own schedule, usually every few hours). Anyone on the tour can grab the address; a manager can reset the link, which instantly disables every previously shared copy.
Every alert — a day sheet sent to the crew, a schedule change on a confirmed day, a message — lands in the bell inside the app, always. On top of that you can turn on push notifications per device (Account → Notifications → Push notifications), so alerts reach you even when the app is closed — on iPhone, install BetterTour to your home screen first, then enable push inside it. Email has its own toggle in the same place. Use Send a test notification there to check your setup end-to-end: it rings your own bell and pings every device you've enabled.
Yes. Open the tour's Dates tab and flip the List | Month toggle (top-right) to Month. It's a standard month grid: every date shows its day type and city, with a dot for each show or appearance. Tap a date to see what's on it — and if you're a manager, to add the day, add an event, or open the full day. Use Add days at the bottom to build a whole range at once. Managers can add; crew can view and open days. Flip back to List for the itinerary.
Open the day, tap Edit day, then Reschedule… and pick the new date. The whole day moves — its show, schedule, travel and notes — and the times shift to the new date; the old date is left as an empty day. You can also ask the assistant: "move the Kamloops show to the 30th" and confirm. Only tour managers can reschedule, and the target date has to be empty first.
Yes. On your dashboard tap Smart import, then upload a tour poster (image), a PDF itinerary, or paste your dates (or a CSV). AI reads it and lays out the tour — dates, cities, venues, and which days are shows. You review and tweak the result (fix the name/artist, drop any misread rows) before anything is created, then tap Create tour. Venues from the file become real venue records attached to their days (and show up in the venue directory and on the tour map), so you can add addresses, contacts, and tech notes to them right away. After that, fine-tune any day with the normal editor, reschedule, or delete tools. AI can misread a busy poster, so always sanity-check the dates.
New to BetterTour? On the sign-in screen tap Continue with Master Tour and enter your Master Tour email + password. We set up your account and show you a list of your Master Tour tours, all ticked. Untick anything you don't want, then bring the rest across. Already have an account? Open Transfer from Master Tour and enter the same login. Either way we use your password once, server-side, and never store it. Each tour arrives with all its days and each day's shows, venues, guest lists, set lists + hotels. Imported guests arrive as requested so a manager can approve them; hotels land as travel items. Tip: start from Add tour on the org you want (top bar) and the tours drop into that organization; start from the home page and we match or create a band from the Master Tour artist name.
Yes. Once you've connected, we check Master Tour for changes when you open BetterTour and pull anything new in the background. You don't have to do anything. Your edits win: if you change a day here, a later Master Tour change to that same field is ignored, so nothing you type gets overwritten. Nothing is ever deleted either. If a day, show or hotel is removed in Master Tour it stays in BetterTour, and you can delete it yourself if you want to. To see the last sync, force one, or stop syncing, go to Account → Master Tour. Disconnect deletes the stored key and stops the syncing; the tours you've already brought over stay exactly where they are.
Because Master Tour doesn't tell us which ones you've archived. Its app tucks archived tours into their own menu, but what it sends us is a plain list with no dates and no archived marking, so an old tour and a live one look identical from here. That's why we ask you instead. Go to Account → Master Tour → Choose tours and untick the ones you don't want. Unticking stops that tour syncing and moves the copy here into Tour history, so it's off your dashboard. Nothing is deleted, and you can tick it back on any time. Worth knowing: deleting an imported tour doesn't hold, because the next sync sees it in Master Tour and brings it back. Untick it instead.
Open your Account page and choose Delete account. Your data is scheduled for deletion after a short grace period. Reply to the confirmation email within that window to recover it.
Yes. Opening a tour while you have signal downloads the whole run to your device, not just the date you tapped: every date with its schedule, travel, shows and the tour's contacts. So in a dead-signal venue or on a plane you can still see call times, the venue, the hotel and who to ring. Guest lists, advance and budget are saved for the dates you actually open, so open those before you lose signal. Any edits you make offline are saved and sync automatically the moment you're back online — saves confirm instantly with a "Saved offline" note, and a small banner reminds you when you're offline. Bug reports file offline too (without the screenshot). The app itself also loads with no connection (install it to your home screen for the best experience). A few things still need a connection and will wait until you're back: the AI assistant, sending invites, file uploads, and the map.
If you signed up as an artist or tour manager, your dashboard has a New band button. Create a band first, then tap New tour on that band and give it a name plus start/end dates. Plain crew accounts don't create bands — you'll see tours you've been invited to instead. You can't create two bands with the same name on one account — if the name already exists, open that band instead (imports reuse it automatically).
Yes, in two taps: Account → View → Add Artist (or Add Tour manager). Your account keeps everything it already has — the tours you're on, your profile — and gains the new tools (creating bands and tours). Picking a role at signup is never a lock-in.
Tap the band's name (on your dashboard or above a tour name) to open its page, then tap the gear. From there you can edit the profile (name, photo, hometown, bio) or delete the band. Deleting is owner-only and requires the band to have no tours — archive or delete its tours first. Members and their roles are managed from the Members tile on the same page.
When a tour is over, tap the archive icon on its card on the home screen. It moves out of your active list into Tour history under that band, so home stays focused on what's live. Nothing is deleted: open Tour history to see your past runs, open any archived tour with all its data still there, or tap Restore to make it active again. You can also just tell the assistant "archive this tour" while you're in it.
The band is your people pool — everyone who works with the artist, past and present. Being in the band does not put someone on any tour: each tour's roster is built for that run, from the pool. So a one-time engineer from years ago can stay in your band without seeing next year's dates. To add crew to the band, open the band's page → Members (invite link, or add by name/email). To put someone on a tour, open the tour → Crew → Add someone — people already in your band show up as suggestions, and anyone you add to a tour joins the band pool automatically. Removing someone from a tour leaves them in the band; removing them from the band takes them off all of its tours too.
Yes. Tap a band's name (the cog) on your dashboard to open Band settings, then Add photo — it's resized to a small web-friendly image on your device before uploading and shows on the band's card. For your own picture, open Account and add a photo on your avatar the same way. Remove clears either back to the initial.
Yes — this is the visibility layer. On the tour's Crew screen (or the band's Members screen), tap a person and give them a position (their job — FOH engineer, bus driver, agent; pick a preset or type your own) and a department: Management, Crew, or Artist (the same three layers as the tour roles). Picking a preset position fills in the right department automatically. Then, on any schedule item, travel item, the day's notes, or a file, use Visible to to pick which departments see it — leave it empty for everyone. Managers and accountants always see everything, schedule alerts only go to the people who can see the item, and tagged items never appear on public day-sheet share links. Example: tag the artist's hotel pickup 'Artist, Management' and the crew's day sheet stays clean.
Yes. A date's Notes tab has two locked sections under the open ones. Crew notes go to management and crew, so the artist doesn't see them. Management notes go to management only. Both are managed by management; everyone else reads.
These are a harder line than Visible to on the notes above them. Visible to hides something in the app, which is right for "the lighting crew don't need this". The two locked sections are stored separately, so a phone that isn't allowed to see one never receives the text at all. Use them for anything you'd mind being read: money, personnel, a problem with the promoter.
General, travel and hotel notes stay open to the whole tour, and locked sections never appear on a public day-sheet link or a calendar feed.
Open the tour, tap Crew, then + Add: people already in your band show up first. For anyone else, type their email address — accounts aren't searchable by name, so you need the address you'd email them at. Pick their role in the same sheet. If they're already on BetterTour they're added instantly (and get a notification). If they're not, tap Email an invite and they get a join link that puts them straight on the tour when they sign up. There's also Or create an open invite link for a link anyone can use (great for a group chat). Pending invites can be copied or revoked from the same screen — and the band's Members screen works the same way.
Tap the link. If you're not signed in, you'll be asked to sign in or create an account first, then you land right on the tour. If you were invited by email, signing up with that email adds you automatically — no link needed.
Open the tour from your dashboard and tap Add days — confirm the date range (pre-filled from the tour's dates) and BetterTour creates one day per date. Re-running it never overwrites days you've already edited. Tap any day to set its type — pick a standard one (Show, Travel, Off, …) or type your own (e.g. "Video Shoot Day") — plus city, time zone and notes. Show Day is special: it unlocks the show tools (the show event, settlement). Crew see the itinerary read-only.
On your dashboard, tap a band to open its page, then tap Songs — your repertoire with each song's length, notes, and an optional link. A band manager adds and edits songs; everyone in the band can see them. It lives on the band, so it's there for every tour, and you'll build set lists from it. You can also ask the assistant to add or edit a song.
Yes. On your dashboard, tap the band, then Stage plots → New. Drag mics, amps, monitors, DIs and more onto the stage; every mic/DI you place auto-adds a row to the input list (with its channel number shown on the plot). Tap PDF for a clean, standard-format document — plot + legend + input-list table — that you can view, download, and attach to a tour's Files to send to the venue. Managers build them; anyone in the band can view and export.
Open your band page and tap Set lists → New set list, name it, and add songs from your library (reorder with the arrows). Then on any show's event, open the Set list section and tap From band — apply that saved set list, add individual songs, or copy the whole set from another show you've already played on the tour. It adds to the show's running order so you can still tweak that night. Saved set lists live on the band, so they're there for every tour — and you can ask the assistant ("apply our Main Set here" or "do the same set as the Denver show").
Open the tour and go to Files (in More, or the side nav on desktop). Tap Upload, choose a PDF or image (up to 10 MB), name it, and optionally pin it to a day. Uploading doesn't ask for a category, everything lands under Other. To file it properly, change the category from the dropdown on its row in the Files list (the uploader or a manager can). Any tour member can upload; the uploader or a manager can delete. Files are private to the tour. You can also ask the assistant to delete a file by name — but uploading needs the Files screen.
Each day has an Advance tab — a checklist of everything to confirm with the venue/promoter before the show, grouped by section. Every band starts with the standard nine (production, hospitality, schedule, contacts, riders, merch, security, parking, other) and a band manager can change that list, so it fits how you actually advance. A manager can Start from a template to drop in a standard set, tap an item's circle to cycle it pending → confirmed → n/a, and add notes/answers as things get confirmed. The header shows how many are confirmed. Crew can read the advance; only managers edit it.
Yes. On any day's Advance tab, tap Templates (top-right — always there). Two ways to make one: New template builds a list from scratch (name it, add items with a section + a prefilled note/answer), or build a day's advance and choose Save this day as a template. Either way it's saved per artist (on the band). On any other day, open Templates and tap Apply to drop the whole list in (notes prefilled, statuses reset to pending); the pencil edits a template and the trash deletes it. There's also a built-in Generic starter checklist for the common items. Creating/editing/deleting templates is a band-manager action; applying one is available to any tour manager.
The same Templates screen is where you edit the categories the advance groups by. Tap Edit next to Categories to rename them, add your own, reorder them or reset to the standard set. They belong to the band, so every tour for that band uses the same list. Removing a category leaves any items already filed under it where they are, at the bottom, so nothing disappears.
Yes. On any day's Schedule tab, tap Templates. Build one from scratch (New template) or set up one good show day and choose Save this day as a template — into My templates (your personal library, which follows you across every band and tour) or the band's shared templates, your pick. Times can be typed either way, 7pm or 19:00 (and 730 works too) — they're stored in 24h so they sort right. The clever part is the anchor: pick one time as the anchor (usually Doors) and when you apply the template to a day with different timings, you enter just that day's doors time — every other item shifts with it automatically. Items marked with the lock keep their clock time (say, a morning lobby call). Applied items always land unconfirmed so you're forced to sanity-check the times — review, then tap Confirm all. You can add alongside or replace a day's existing items, and optionally seed every other Show Day with an empty schedule in one go. You can also ask the assistant: "apply the club template to Toronto, doors at 8".
Inside a tour, the bottom bar becomes the tour's own tabs — Dashboard (the tour at a glance), Dates (the day-by-day itinerary), Schedule, Info (the date you're on), and More (Contacts, Files, Map, and a way back to all your tours). Each day in Dates expands to show its events right there (tap the chevron; a day with a single show is open by default). Tap Dates, then a day, to open that day's full workspace. To reach your band's Songs / Set lists / Stage plots, tap the band name shown above the tour name — it opens the band's page. On desktop these all live in the left side panel.
The ✨ assistant (bottom-right on any tour screen) answers questions about the screen you're on and can draft changes. It never changes anything on its own — it shows you a confirm card describing the exact change, and nothing happens until you tap Confirm. When it does run, it runs as you, so it can only do what you already have permission to do. It's always safe to ask.
For day-scoped actions (schedule item, event, flight, hotel, ground, guest, share link) the assistant just needs to know which day — either the one you have open, or one you name by date ("…on the 18th", "the Aug 31 show"). It only asks you to open a day when you haven't said which one. Adding a contact is tour-wide, so it needs a tour open. Name the date and you can edit any day from anywhere.
Yes. The ✨ assistant can answer questions about how BetterTour works — "how do I invite crew?", "where do I put the rider?", "how do I archive a tour?" — using the same Help Center content you'd read yourself. So it's both your tour's assistant and your help desk. If it doesn't know, it'll point you to the Help Center (the ? icon).
